PropoKit is a product of Denali Tech Inc. ("Denali Tech," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application at propokit.com (the "Service").

1. Information We Collect

Account Information

When you create an account or sign in using an available sign-in method, such as Google, Microsoft, or email/password, we collect the account details needed to authenticate you and manage your PropoKit account, such as your name, email address, and sign-in method. If you use a third-party sign-in provider, we may receive basic profile information from that provider, such as your name, email address, and profile photo, depending on the provider and your account settings.

Proposal Data

You create, edit, and store business proposals through our Service. This includes customer information, product and service details, pricing, terms and conditions, scope of work, and any other content you enter into your proposals.

Billing and Plan Information

If you start a trial, choose a paid plan, or manage billing, we store account access and plan status needed to operate your PropoKit workspace. Payment card details are handled by our payment processor and are not stored directly by PropoKit.

Support and Communications

If you contact support, report a bug, reply to a PropoKit email, or use in-app support tools, we may collect the message content, contact details, account identifiers, and technical context needed to respond and improve the Service.

Proposal Signing Data

When a customer signs or approves a shared proposal through PropoKit, we collect the signing details used by the workflow, such as printed name, signature image when provided, and the date and time of signing.

Usage Data

We may collect information about how you access and use the Service, including your browser type, pages visited, and time spent on pages.

2. How We Use Your Information

To provide, maintain, and improve the Service
To authenticate your identity and secure your account
To store and manage your proposals and business data
To enable proposal sharing and client signing workflows
To integrate with third-party services you connect, such as QuickBooks Online
To communicate with you about your account or the Service
To process billing, plan access, support requests, and security notices

3. Data Storage and Security

Your data is stored using Google Firebase services, including Firebase Realtime Database and Firebase Storage. We use authentication and access controls designed to protect your account data, including:

Encrypted data transmission (HTTPS/TLS)
Firebase Authentication for access control
Database security rules designed to restrict account access to authorized data
Workspace isolation controls designed to separate proposal and account information

4. Data Sharing and Third Parties

We do not sell your personal data. We may share information in the following circumstances:

Shared proposals: When you share a proposal via a link, the proposal content in that shared view becomes accessible to anyone with that link. You are responsible for sharing proposal links only with intended recipients.
QuickBooks Online integration: If you connect your QuickBooks Online account, proposal data may be synced to create invoices in QuickBooks Online. This is initiated by you and governed by Intuit's privacy policy.
Payment processing: We use Stripe for checkout, subscriptions, billing portal access, invoices, and payment-related records.
Email delivery: We use email service providers to send account, billing, support, team, and workflow emails related to the Service.
AI-assisted features: If you use AI-assisted features, the relevant prompt, proposal context, or product/image instructions may be sent to an AI service provider to generate the requested output.
Service providers: We use Google Firebase for hosting, authentication, data storage, cloud functions, and file storage. Google's privacy practices apply to infrastructure services.
Legal requirements: We may disclose information if required by law or to protect our rights, safety, or property.

5. Cookies and Tracking

We use essential cookies and local storage for authentication sessions and application preferences (such as your theme setting). We do not currently use advertising cookies or third-party analytics or tracking cookies that we control on the public site. Third-party sign-in, security, or connected-service providers may use their own cookies under their policies.

6. Your Rights

You have the right to:

Access your personal data stored in PropoKit
Correct inaccurate data through the application
Request deletion of your account and associated personal data, subject to legal, security, fraud-prevention, tax, billing, dispute-resolution, backup, and operational retention needs
Export your proposals as PDF files
Contact us with privacy requests or objections to certain processing, where applicable

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you request account deletion, we will work to delete or de-identify personal data associated with your account within a reasonable period, except where retention is needed for legal, security, fraud-prevention, tax, billing, dispute-resolution, backup, or operational purposes.

8. Children's Privacy

PropoKit is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated "Last updated" date.
