How PropoKit handles your data.

PropoKit helps contractors and service businesses manage proposal workflow. That means we handle real account, customer, project, proposal, file, billing, support, and integration data with care.

PropoKit is operated by Denali Tech Inc.

Who this policy applies to

This Privacy Policy explains how PropoKit collects, uses, shares, and protects information when you visit our website, create an account, use the PropoKit app, contact support, connect supported integrations, request a data export, or use account-safety features.

PropoKit is operated by Denali Tech Inc. References to "PropoKit," "we," "us," or "our" mean PropoKit and Denali Tech Inc. where applicable.

Information we collect

The information we collect depends on how you use PropoKit.

Account information

Name, email address, sign-in information, account identifiers, workspace access, plan state, role, permissions, and account-safety records.

Business profile information

Company name, business details, logo, address, phone number, website, proposal defaults, terms, and branding information you add to PropoKit.

Customer and project information

Customer names, contact details, project names, project notes, project files, proposal status, workflow activity, and related job details you enter or upload.

Proposal content

Cover pages, company introductions, Scope of Work, Objectives, Products and Services, Pricing Summary, Terms and Conditions, proposal versions, PDFs, email drafts, signing links, and accepted-work details.

Product and service library information

Saved products, services, descriptions, prices, quantities, categories, imports, and library details used to build proposals.

Files and uploads

Project files, images, documents, proposal PDFs, file metadata, upload dates, file names, content types, and storage-related information.

Billing and plan information

Plan, subscription status, account access state, billing events, invoice/payment metadata, cancellation state, and related billing support information.

QuickBooks connection and workflow information

Connection status, safe handoff metadata, customer or item matching information, accepted-work preparation details, and invoice handoff state when QuickBooks is connected.

AI-assisted drafting information

Text, project details, business profile information, and proposal content you provide may be used to help generate or improve proposal drafts inside your workflow. You are responsible for reviewing AI-assisted output before sending it to a customer.

Support, feedback, and problem reports

Messages you send to support, feedback details, problem reports, safe screenshots or attachments you choose to include, and related communication history.

Website, device, cookie, and diagnostic information

Browser, device, page, consent preference, cookie/storage, error, performance, and diagnostic information may be collected when needed to operate, protect, troubleshoot, or improve the website and app. Analytics use should follow your consent choices where required.

Payment card details are handled by our payment processor. PropoKit should not store full payment card numbers.
Do not send QuickBooks login credentials to PropoKit Support. QuickBooks remains the accounting system of record.

Information we do not want you to send

For your safety, please do not send sensitive secrets through forms, support messages, feedback, or screenshots unless we specifically ask for a safe version.

  • Passwords.
  • Payment card numbers.
  • QuickBooks login credentials.
  • OAuth tokens.
  • API keys.
  • Delete-account confirmation links.
  • Data-export download links.
  • Private keys.
  • Unnecessary private customer data.
  • Full proposal documents unless support asks for them.

How we use information

We use information to operate PropoKit and provide the proposal workflow.

  • Create and manage accounts.
  • Authenticate users and protect account access.
  • Provide projects, proposals, files, library, AI-assisted drafting, PDF export, signing links, email drafts, status tracking, and QuickBooks prep.
  • Manage plans, billing access, subscription state, and cancellation flows.
  • Provide customer support and respond to feedback or problem reports.
  • Prepare account data exports.
  • Process account deletion and account-safety requests.
  • Maintain security, prevent abuse, troubleshoot issues, and monitor reliability.
  • Send transactional emails, such as verification, account-safety, billing, export, support, team, and QuickBooks-related messages.
  • Improve the product, website, and user experience using consented analytics or diagnostics where applicable.
  • Comply with legal, tax, security, fraud-prevention, and accounting obligations.

How we share information

We do not sell PropoKit customer account data as a business model. We share information only when needed to operate PropoKit, provide requested features, comply with law, protect the service, or work with approved service providers.

Service providers and subprocessors

We may share information with service providers that help us operate PropoKit, such as hosting, database, storage, authentication, payment processing, email delivery, diagnostics, analytics, and support tools.

Payment processing

Billing and payment processing may be handled by Stripe or another approved payment provider. Payment processors may receive the information needed to process payments, manage subscriptions, and handle billing events.

QuickBooks / Intuit

If you connect QuickBooks, PropoKit may exchange information with Intuit/QuickBooks as needed to support the connected workflow you authorize, such as customer matching, accepted-work preparation, estimate or invoice handoff, and connection state.

Email delivery

Transactional emails may be sent through an email delivery provider. These emails may include verification, support, billing, export, deletion, team, and workflow-related messages.

Legal and safety

We may disclose information if required by law, legal process, security investigation, fraud prevention, abuse response, or to protect the rights, safety, and security of PropoKit, users, or others.

Business transfers

If PropoKit or Denali Tech Inc. is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.

AI-assisted drafting

PropoKit may offer AI-assisted drafting to help create first-pass proposal content, such as scope, objectives, summaries, or customer-facing wording. AI-assisted output should be reviewed by you before it is used in a customer proposal.

  • Do not enter secrets, payment details, private keys, or unnecessary sensitive information into AI fields.
  • AI output may be incorrect, incomplete, or need editing.
  • You remain responsible for reviewing proposal content before sending it to a customer.
  • AI-assisted drafting is meant to support the workflow, not replace business judgment.

QuickBooks connection

QuickBooks remains the accounting system of record. PropoKit manages proposal workflow before accounting begins.

When you connect QuickBooks, PropoKit may use connection state and authorized data to support customer matching, accepted-work preparation, and invoice or estimate handoff features. Draft proposals and incomplete proposal work should remain in PropoKit unless you choose an approved handoff action.

  • Do not send QuickBooks login credentials to PropoKit Support.
  • You can disconnect QuickBooks where the app provides that option.
  • Your use of QuickBooks is also governed by Intuit's terms and policies.
  • PropoKit should not expose connection secrets in public pages, support screenshots, or logs.

Billing and payments

Billing and subscription payments are processed through approved payment providers. PropoKit may store subscription status, plan, billing access state, invoices or payment metadata, cancellation state, and billing support information.

PropoKit should not store full payment card numbers. Payment card information is handled by the payment processor.

Data export

Account data export is designed as a signed-in, account-owner action. Export packages should include customer-portable account and workflow data while excluding secrets, tokens, private internal paths, payment card details, OAuth tokens, raw AI system prompts, and other internal system information.

Downloads should remain inside the signed-in app and should not be sent as public file links.

Account deletion

Account deletion is a sensitive action. PropoKit's self-serve deletion flow is designed to require email confirmation, signed-in access, and a final confirmation step where available. Some cases may require support-assisted deletion, especially if ownership, billing, team, integration, or safety conditions need review.

Deletion may not remove information that PropoKit or its providers are required or permitted to keep for legal, tax, billing, fraud-prevention, security, dispute, backup, or compliance reasons.

Data retention

We keep information for as long as needed to operate PropoKit, provide the service, support accounts, manage billing, maintain security, resolve disputes, comply with legal obligations, and protect legitimate business interests.

  • Account data may be kept while the account is active.
  • Project, customer, proposal, and file data may be kept while needed for the account workflow.
  • Billing records may be kept as needed for tax, accounting, dispute, and legal reasons.
  • Security, audit, and diagnostic records may be kept for safety and abuse-prevention purposes.
  • Deleted or exported data may remain in backups or provider systems for a limited time according to retention practices.

Security

PropoKit uses administrative, technical, and organizational safeguards intended to protect account and workflow data. No internet service can guarantee perfect security, but PropoKit is designed to protect access, limit sensitive actions, and reduce accidental exposure of private data.

Your choices and rights

Depending on where you live, you may have privacy rights related to your personal information. These may include rights to access, correct, delete, export, restrict, or object to certain processing.

  • Update account and business profile information in the app.
  • Request account data export where available.
  • Request account deletion where available.
  • Manage cookie or analytics preferences through Cookie Settings.
  • Contact support for privacy questions.
  • Manage billing and cancellation from Billing where available.

To make a privacy request, contact support@propokit.com or use the Support page. We may need to verify your identity before completing certain requests.

Marketing emails

PropoKit may send transactional emails related to your account, security, billing, support, team access, exports, deletion, QuickBooks connection, and product workflow.

If PropoKit sends marketing emails in the future, those emails should include the required unsubscribe or preference controls.

Children

PropoKit is intended for businesses and is not directed to children. Do not use PropoKit if you are not old enough to enter into an account or service relationship under applicable law.

International users

PropoKit is operated from the United States. If you use PropoKit from outside the United States, your information may be processed in the United States or other locations where our service providers operate.

Changes to this policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date. If changes are material, we may provide additional notice where appropriate.
